The challenge of managing a fast-changing football ecosystem

 

Running a football club at the highest level of Belgian football comes with constant financial challenges.

 

Revenue streams can shift, sponsorship income is increasingly important, television money continues to evolve and changes to competition formats can have a significant impact on a club’s financial planning.

 

For KVC Westerlo CFO Steven Melis, that makes having control over every aspect of the club’s finances particularly important.

 

As well as overseeing the club’s finances, Melis is ultimately responsible for transfer processing - including the complex web of conditional payments that can sit behind a transfer agreement.

 

“We have a very fast-changing ecosystem with challenges on income revenues for sponsorship, TV-money, changing competition formats, which makes it very challenging,” he says.

 

That makes having an accurate overview of transfer-related income and obligations essential.

 

Transfer agreements can contain a wide range of conditional clauses. Appearances, goals, matches played, promotions and other sporting achievements can all trigger additional payments.

 

For Westerlo, the challenge wasn’t necessarily knowing what clauses existed. The club already had a good overview of its contractual obligations within its ERP system.

 

The problem was connecting those clauses with the sporting data needed to know when they had actually been triggered.

 

"We wanted to get a grip on the triggers for conditional transfer bonuses," Melis explains.

 

“We had a good overview of all the clauses in our ERP system, but we missed the link with the data from transfers and matches to follow up which conditional clauses were triggered."

 

That gap created an ongoing need for manual monitoring.

 

The finance team could have the contractual information in one place, but still needed to proactively check transfer and match data to determine whether a payment had become due.

 

This was the key reason Westerlo decided to adopt TransferRoom’s Contingency AI, to get greater visibility over the triggers attached to its transfer agreements.
